HVAC and Plumbing Win-Back

Win Back Your Old
HVAC and Plumbing Customers

Most of your past customers do not hear from you until something breaks, and by then they are already Googling a competitor. A warm, disclosed AI calls your own past customers and re-books them for tune-ups, overdue service, and lapsed maintenance.

These are people who already paid you once. Warm contacts, never a cold list. The AI says it is an AI, and anyone who asks to stop is opted out.

You Already Paid to Win These Customers Once

The marketing spend, the first job, the trust you earned. It is all sitting in your database doing nothing while you chase expensive new leads.

How Does Winning Back Past Customers Work?

From a forgotten name in your database to a booked visit, without your crew on the phone.

Step 1

You hand us your own customer list

Past service calls, completed installs, lapsed maintenance plans, the people in your system who have already paid you once. Your warm list, not a bought one.

Step 2

A disclosed AI calls with a reason to reconnect

The AI says it is an AI calling on your behalf, then gives a real reason: a tune-up that is due, a system getting old, a maintenance plan that lapsed. It is a helpful nudge, not a sales ambush.

Step 3

Visits get booked, opt-outs get honored

Customers who want service get a visit booked into your schedule. Anyone who is not interested or asks to stop is opted out and noted. You stop calling the wrong people and start filling the calendar with the right ones.

Step 4

You get the bookings and a cleaner database

Each call returns a recording, a transcript, and an updated record. Your list goes from a dusty spreadsheet to a living book of customers you actually stay in touch with.

Which Past Customers Are Worth Calling?

The ones with a real, timely reason to book again.

Seasonal tune-ups

Heating before winter, cooling before summer. Customers who had you out once rarely remember to book the next service. A timely call gets the tune-up on the schedule before the rush, smoothing out your slow weeks.

Overdue service and aging systems

A furnace or AC you installed years ago is now in its decline. A water heater is past its expected life. The customer who already trusts you should hear from you before it fails and they search for someone new.

Lapsed maintenance plans

Maintenance agreements quietly expire and renewals get forgotten. Reaching out to lapsed plan holders brings back recurring revenue you had already earned once and can earn again.

One-time customers worth a second visit

Someone called you once for a repair and never came back. They are not unhappy, they just have not had a reason. A warm check-in reminds them you exist and turns a single job into an ongoing relationship.

Frequently Asked Questions

Is this cold calling my list?
No. These are your own past customers, people who already hired you and are in your system. The call reconnects with someone who has an existing relationship with your business, about service that is genuinely relevant to them. Anyone who asks to stop is opted out and not called again.
Does the AI hide that it is an AI?
No. The AI states at the start of the call that it is an AI calling on your behalf. We do not pretend it is a person and we do not claim it is indistinguishable from one. Customers tend to respond well to a clear, polite call that gives them a real reason to book.
Will it make my company sound robotic and hurt my brand?
The AI speaks naturally and references the customer history rather than reading a generic script. It is built to sound calm and helpful, not pushy. If a customer wants to speak with your office, the call is handed off or a callback is arranged, so the relationship still feels human.
Is it legal to use an AI to call my past customers?
An existing customer relationship does not by itself make an automated or AI voice call legal everywhere, and the rules vary by country and region. Our approach stays on the safe side: we call only your own opted-in customers, the AI discloses that it is an AI, opt-out and do-not-call requests are honored, and every call is logged. We do not claim any campaign is automatically exempt or zero risk, and we are happy to walk through your specific situation.
My customer data is messy. Will that be a problem?
Most contractor databases are messy, that is normal. The AI works through the list and updates each record with the real outcome: booked, not interested, wrong number, opted out. So even the calls that do not book a job leave you with a cleaner, more accurate list than you started with.
How is this different from your CRM-triggered follow-up?
CRM-triggered follow-up fires a call automatically when a single record hits a trigger, like a service date passing. This is a campaign that works through your existing book of past customers in a batch to reactivate them. They complement each other, and many shops eventually run both.

Your Next Busy Month Is Already in Your Database

You have hundreds of past customers who would book again if someone just called. Let a warm, disclosed AI work the list and fill your schedule.
